Onboarding — How It Works

Getting your organization set up in DocDocVault is designed to be a guided process, not a blank form to figure out alone.

What onboarding covers:

  1. Entity identification — telling DocDocVault what type of organization you are (HOA/POA, LLC, corporation, nonprofit, partnership, etc.), which determines your tailored compliance checklist from the start
  2. Account & access setup — establishing who on your team has access, and at what level, so the right people can manage documents and compliance without over-exposing sensitive records
  3. Initial document upload — bringing in your existing governing documents, financials, and records so DocDocVault can begin organizing and checking them against your compliance requirements right away
  4. Compliance baseline — once your documents are in, DocDocVault shows you where you stand: what’s already accounted for, and what’s still needed to be fully compliant

Why it’s structured this way: the goal is that by the end of onboarding, your organization isn’t just “signed up” — it already has a working compliance picture and an organized vault, instead of starting from zero and building up over months.

Please provide your basic account details.

This is your login name — separate from your email address, and must be unique.

Required Before Launch: Credential & Cloud Vault Provisioning

Client onboarding must also extend to:

  • Provision access credentials for the client’s designated contact(s), most likely defaulting to a Prime-Admin-controlled setup, consistent with how client provisioning authority already works today
  • Automatically build the client’s folder structure on cloud.docdocvault.com (Nextcloud), matching the same compliance-category structure used throughout the platform, so the moment a client is added, their vault is ready to receive documents — no manual folder setup required

Until this is in place, adding a client creates their record and compliance tracking, but any cloud vault access or folder setup for that client needs to be handled manually. This is a launch-blocking gap, not a future enhancement.
